Churton Park Community Walkers Privacy Statement

 Churton Park Community Walkers (“CPCW”) takes your privacy seriously and aims to comply with the Privacy Act 2020. That is why we wish to be clear and open about what information we keep about you and what we do with it. 

This Privacy Statement explains how we collect and handle your personal information in accordance with our legal obligations, including those under the Privacy Act 2020. 

CPCW collects some basic demographic information from our members – contact details including name, address, phone number and email address (to allow us to communicate with you effectively); and contact details for your emergency contact (name and phone number of a family member or friend who you would like us to contact in the event of an emergency).

All information is held securely and is password protected.  Individual members can access only their individual record; only certain committee members are able to access the full membership database – eg. for distribution of the newsletter; to email a notice of cancellation of a walk. Committee members’ own information is held on the database and so we are as concerned as you that our information is held securely. 

CPCW undertake to you that we will not share the information contained in our membership database with any other organisations.

We use secure systems to hold your information. Although we maintain a copy of the database in spreadsheet format for backup purposes, no information is held permanently on personal computers. We aim to only keep your information for as long as we need it. You can request your information be removed at any time you wish to no longer be a member of CPCW by contacting the Privacy Officer.

You can view your personal information via a link that is sent to you. If you have forgotten your link, you can obtain it by visiting www.cpcw.co.nz/Join and clicking the link next to the Submit button. Alternatively, you may request your link be sent to you by contacting info@cpcw.co.nz.    

CPCW shares accounts of its activities in its weekly newsletter and other media. This includes photographs and references to participants. Your membership of CPCW is agreement to this unless you specifically advise CPCW that you do not agree.

Whilst CPCW will take all reasonable steps to ensure images of you are removed should  you request it, we expect that you will take reasonable steps to ensure you  do  NOT appear in any photographs taken at group events if that is your  preference.

CPCW is not responsible for any photographs taken of you by individual members and posted on personal social media sites or the internet.

Upon receipt of a request to the Privacy Officer, CPCW will act to the best of its ability to ensure that we avoid publication of your name or image or any other identifying reference in any CPCW publication.
